Tutoring Policies and Terms

Welcome to Victor Tuition! By enrolling in a 12-week term with us, you agree to the following policies. Please read them carefully.

1. Scheduling and Bookings

Students are enrolled on a 12-week term basis.
Sessions are scheduled at the time of enrolment and occur weekly on the agreed day and time (weekends).
Term dates are fixed, and sessions are confirmed once you receive a confirmation email from us.
Your child's spot in the group is reserved exclusively for them for the full 12 weeks.
Weekly classes are 3-hour group sessions held on weekends.
Every third week, the session is extended to 3.5 hours for a practice exam session.
Lessons may be rescheduled if required (e.g., public holidays, tutor availability, or other unforeseen circumstances). Parents will be notified in advance of any changes, and make-up arrangements will be offered where possible.

2. 12-Week Term Commitment

Enrolment is for a full 12-week term.
Once enrolled, your child's spot in the group is held exclusively for them for the entire term.
Sessions occur weekly on the same day and time.
No refunds will be issued for withdrawal after the term has started.
Once the term begins, the full term fee is non-refundable.
Exceptions may be made for serious illness or medical emergencies (a doctor's certificate may be required; this is at the tutor's discretion).

3. Catch-Up Classes

All enrolled students have access to 12 free catch-up classes per term.
Catch-up classes are 3-hour sessions held on Wednesdays.
Every third catch-up session is extended to 3.5 hours.
These sessions are available for students who:
- Need extra support with topics from their weekly classes, or
- Are unable to attend their scheduled weekly class.
Catch-up sessions are available to all enrolled students with no conditions or restrictions.
Catch-up classes do not roll over to the next term if unused.

4. Attendance, Cancellations and Missed Sessions

No Rescheduling of Weekly Lessons:

Weekly lessons cannot be rescheduled to a different day or time.
Your child's weekly session day and time are fixed for the entire 12-week term.
If your child cannot attend their scheduled weekly session, they are welcome to use one of their 12 free catch-up classes (held on Wednesdays) instead.

Cancelling an Individual Session:

If you know your child cannot attend their weekly session, please provide at least 24 hours' notice so we know not to expect them.
With less than 24 hours' notice, the session is forfeited. However, your child can still use one of their 12 free catch-up classes to make up for the missed content (subject to availability).
No-shows (not attending without any communication) will be forfeited with no refund. Catch-up classes may still be used to cover missed content.

Weekly Sessions Run as Scheduled:

Weekly sessions will run as scheduled regardless of individual absences.
The session will not be paused, slowed down, or rescheduled for absent students.
Missed content can be covered during catch-up classes.

5. Late Arrivals

If a student arrives late, the session will not be cancelled or slowed down for them.
The session will still end at the originally scheduled time.
The missed time at the beginning will not be made up.
No refund or credit will be given for the missed time.
The group will not stop or repeat content for late arrivals.
Please ensure your child arrives on time to make the most of their session.

6. Payments

Payment for the full 12-week term is due before the first session begins.
2027 Pricing: $684 per term for 12 weeks of weekly tutoring (3-hour sessions, extended to 3.5 hours every third week for a practice exam session), plus 12 free catch-up classes per term. Works out to just $18 per hour.
Rate Lock Guarantee: The $18 per hour rate is locked in for your entire continuous enrolment with no price rises for as long as you remain enrolled with Victor Tuition.
Important: If you un-enrol and later re-enrol, the $18 per hour rate may no longer apply and you will be subject to the current pricing at the time of re-enrolment.
Future Enrolments: Pricing for new enrolments in 2028, 2029, and beyond may be subject to change. Only students who remain continuously enrolled will retain the $18 per hour rate.
Late payments may result in the suspension of sessions until the balance is cleared.
Term fees are non-refundable once the term has started (see Section 2 above).

Bring a Friend Discount:

Receive $50 OFF your next term when you refer a friend who enrols.
Limited to one friend per referring student.
To claim: Have your friend enter your full name in the "Message" section of the enrolment form.
Once your friend's enrolment is confirmed and their first term fees are paid, you will receive a $50 credit toward your next scheduled term payment (not your current term).
One discount per referring student (applies to your first successful referral only).

7. Business Continuity and 2027 Offer Guarantee

The $18 per hour rate offered under our 2027 promotion is locked in for your entire continuous enrolment while Victor Tuition is actively operating and providing tutoring services.
This rate guarantee applies only to active, ongoing, continuous enrolment and is contingent upon Victor Tuition continuing to operate as a business.
If you un-enrol and later re-enrol, the $18 per hour rate is no longer guaranteed and you will be subject to the current pricing at the time of re-enrolment.
In the event that Victor Tuition ceases operations, closes, or is unable to continue providing tutoring services for any reason:
- The $18 per hour rate guarantee no longer applies.
- Victor Tuition has no obligation to continue providing services at this rate or any rate.
- Liability is limited to a pro-rata refund for any prepaid sessions not yet delivered in the current term only.
- Victor Tuition, its owner, and its representatives are not liable for any indirect, consequential, or special damages arising from the cessation of operations, including but not limited to:
  - Costs incurred to engage alternative tutoring services.
  - Academic outcomes or loss of educational progress.
  - Any other expenses or losses related to the interruption of tutoring services.

8. Group Conduct and Behaviour

All students agree to be respectful, engaged, and ready to learn during group sessions.
Students should have all necessary materials (stationery, calculator, etc.) ready before the session starts.
Disruptive behaviour will not be tolerated in group sessions, as it affects the learning of all students.
Students must treat the venue, facilities, and all equipment with care. Any damage caused to tables, chairs, or other property during a session may result in the student being held financially responsible for repairs or replacement.
Leaving Early: If a student needs to leave a session early, parents must notify the tutor in advance. The student must pack up quietly and leave the venue without disrupting the rest of the group.
Packing Up: At the end of each session, students are responsible for packing up their belongings and ensuring they leave nothing behind. Victor Tuition is not responsible for any lost or forgotten items.
Student Emergencies: In the event of a medical emergency or if a student becomes unwell during a session, the tutor will contact the parent/guardian immediately. If necessary, first aid will be administered, or emergency services will be called.
The tutor reserves the right to:
- Issue a warning for disruptive behaviour.
- Remove a student from a session if they are repeatedly disruptive, rude, or uncooperative.
- Permanently remove a student from the group with no refund if disruptive behaviour continues after warnings.
Parents will be notified if their child receives a warning for behaviour issues.

9. Parent/Guardian Involvement

For students under 18, parents or guardians are responsible for ensuring the student attends the session and has the required materials.
Parents are encouraged to communicate any concerns or updates about their child's progress via email or phone.
If you have any questions or feedback, please reach out outside of session hours so the tutor can focus fully on teaching the group.

10. Academic Results and Guarantees

While Victor Tuition is committed to helping students improve, we cannot guarantee specific grades, test scores, or academic outcomes.
The student's effort, practice, and participation are essential factors in their success.
Tutoring is a partnership. We provide the support, but the student must do the work.

11. Homework, Practice and Materials

For the purposes of this section, "materials" includes but is not limited to: worksheets, practice exams, solutions, lesson notes, handouts, digital files, recordings, and any other resources provided by Victor Tuition to students during their enrolment.
Students are provided with worksheets designed to build effective study habits and the confidence to solve any question.
Students are guided through plenty of exam-style questions to prepare them thoroughly.
Completing practice tasks between sessions is strongly encouraged to reinforce learning and make progress.
Failure to complete practice tasks may slow progress, and the tutor is not responsible for lack of improvement if the student does not engage outside of sessions.
All materials provided by Victor Tuition are the exclusive property of Victor Tuition and are for the sole use of enrolled students only.
These materials may not be shared, distributed, copied, reproduced, transmitted, uploaded, or made available in any form (including physically, digitally, or online) to any non-enrolled student, third party, or online platform. This prohibition applies both during and after the student's enrolment with Victor Tuition ends.
Unauthorised sharing of materials may result in immediate termination of enrolment with no refund.
Victor Tuition reserves the right to take legal action to protect its intellectual property, including seeking damages for any unauthorised use or distribution of its materials.

12. Privacy Policy

Any personal information collected (names, email addresses, phone numbers) will only be used for scheduling, communication, and billing.
We do not share, sell, or rent your personal information to third parties.
You may request to see, update, or delete your personal data at any time by contacting us.

13. Changes to These Terms

We reserve the right to update these policies at any time.
Changes will be posted on this page, and it is the client's responsibility to review them periodically.
Continued enrolment or use of our services after changes means you accept the updated terms.
